Company Description:

Our financial centre is searching for an administrative coordinator. In this role, you will be responsible for the smooth operation of the office. The goal is to support the managing director in completing the administrative duties required by the financial services advisors so they can focus on sales. Having an eye for detail and being mindful of follow-up would be valuable qualities at our centre.
 
Primary Responsibilities

Office Management
  • Answer the office telephone and process daily mail/courier
  • Order marketing supplies, forms, prospectuses and office stationary
  • General office tasks such as filing, photocopying, paper refill 
Contract/Sales Administration
  • Process financial services advisor contract documents for the various licences required by regulators
  • Assist with advisor registration for various services, programs and courses
  • Process insurance policies and investment transactions; reviewing the documentation for accuracy and any client follow-up
  • Maintain a log of sales documentation flowing to and from head office to follow its process through the various departments
Communication
  • Keep advisors informed about important communications from head office regarding areas such as compliance, technology, product and process changes
  • Follow up with various head office departments on issues of benefit to the centre 
Meeting Support
  • Assist with the planning of financial centre functions such as the holiday season party and team meetings
  • Order refreshments for office meetings

Qualifications
  • Solid oral and written communication skills; a pleasant manner
  • Able to maintain and improve administrative processes
  • Attention to detail and good with numbers
  • Organized but flexible to take on a new task of greater priority
  • Self-directed and able to complete task with limited supervision
  • Maintain staff and client confidentiality
  • Working knowledge of Microsoft Word, Excel, PowerPoint and in internet navigation and research
  • Industry experience an asset
